A landlord gas safety record — the CP12 — is the annual check every landlord in England must have carried out on the gas appliances, fittings and flues they are responsible for in a let property. It is a legal duty, not a service you can defer to a quieter month, and the record must be given to the tenant and kept for two years.

The check is not the same thing as a boiler service, though the two are commonly confused. A CP12 confirms appliances are safe: gas tightness of the installation, appliance operation, gas pressure and burner readings, flue integrity and flue flow, ventilation, and the presence of safety devices. A service goes further into cleaning and maintaining the appliance so it keeps working. Most landlords are best off having both done in one visit — one appointment, one disruption to the tenant, one invoice.

Landlords are often surprised by what is and is not included in an annual check. This is what the visit covers, what it does not, and how it fits with servicing and remedial work across a rented property.

Which appliances are included

Every gas appliance and flue that you as landlord own or are responsible for is checked — typically the boiler, but also gas hobs, cookers, gas fires and any water heater you supplied. Appliances the tenant owns and brought with them are not your responsibility, but the installation and pipework serving them still is, and any obvious danger is recorded and reported.

In HMOs and shared houses with multiple kitchens or multiple heating appliances, the check covers all of them. It is worth telling us the appliance list at booking so the visit is allowed the time it actually needs.

What is tested and measured

The installation is checked for gas tightness. Each appliance is checked for correct operation and safe function, with operating pressure and gas rate measured against the manufacturer data plate where testing points allow.

Flues are checked for integrity and for correct flow, so combustion products are leaving the property rather than spilling into it. Ventilation is checked to confirm each appliance has the air supply it needs — commonly compromised in rentals by tenants blocking air bricks or by a room being altered since installation.

Safety devices such as flame supervision are tested. Where an appliance is unsafe it is classified accordingly, and where necessary and with permission it is turned off and labelled, with the reason explained to both you and the tenant.

CP12 versus a boiler service

A safety check answers one question: is this appliance safe to use right now. A service answers a different one: will this appliance keep running reliably and efficiently for the coming year. Combustion analysis, burner and heat exchanger cleaning, seals, filter and expansion vessel work belong to the service.

Manufacturer warranties on newer boilers require an annual service, not merely a safety check. On rentals with recent boilers, having only the CP12 done is a common and expensive oversight — the warranty lapses quietly and the landlord pays for a repair it would have covered.

Records, tenants and timing

Once the check is complete, you receive the record and a copy goes to the tenant. Existing tenants must be given a copy, and new tenants should receive one at the start of the tenancy. Records need keeping for two years.

Renewal timing matters: the check must be carried out within twelve months of the last, and there is a window in which an early check does not shorten your next deadline. We work to your existing renewal date so a portfolio stays on one predictable cycle rather than drifting earlier each year.

Failures and remedial work
